Business Unit Coordinator
The Client
You will be working for one of the largest Facilities Maintenance Companies in the UK. They are a nationally established company who specialise in the Commercial, Industrial, Retail, Government, Healthcare and Educational sectors.
They are now looking to recruit a Business Unit Coordinator to join the team based out their Leeds office
Business Unit Coordinator Responsibilities
Business Development Tasks
- Targeting and Qualifying New Opportunities
- Daily reviews of potential tender opportunities through alerts received and scanning of Contracts Finder and TED daily
- Carry out research into potential prospects and update Business Development targets matrix
- Develop Bid No Bid document for each tender opportunity and send to BUD and BDM for discussion and approval to proceed
- Registration of interest with agreed targets as ratified by the BDM and BUD
- Acting as the first point of contact for all "cold" enquiries to the BUD, BDM and SMT
Collating and Developing Best Practice
- Development of best practice information sharing across BU and broader business
- Collation and recording of sector specific data for development of best practice in PQQ responses
- Continuous improvement, creation of case studies quarterly for tender submissions
Bid Writing
- Researching Tender content
- Preparation of Tender documentation both SSQ, ITT and open proposal
- Working in conjunction with the BDM to produce quality Tender and Marketing documentation
Presentation and Sales Collateral Activities
- Preparation of documentation – Business Unit presentations in PowerPoint and sales collateral
- Ensuring sufficient supply of sales collateral for events including but not limited to related stationery and promotional material.
Closing
- Support with mobilisations and develop relevant tools/methodology
- Managing regular sales reporting/dynamics (pipeline upkeep)
- Support with client account renewals and rebids (proactive input in advance of contract anniversaries)
Business Unit Director Tasks
- Organising of the BUD’s diary to help prevent clashes
- Organisation of Business Unit events including quarterly meetings for SMT, Contract Managers and social events
- Organising Contract and Project Review meetings
- Day to day administration including scanning and obtaining signatures on documents
- Preparing and issuing predefined reports
- Preparation of BUD expenses monthly
- Collation of master SMT holiday tracker for BUD
- Undertake any other duties as requested by the Business Unit Director.
Office Management Tasks
- Deal with Office Management queries and attend tenant meetings
- Record sickness and absence for the Business Unit and submit relevant documents to Payroll
- Order supplies for the office including subsistence and stationery
- Process all overhead invoices for the Business Unit
- Update and maintain UKS North Shared Drive and Teams sites
- Deal with frequent queries from visitors to the office
- Chase Contract Managers for relevant data needed by BUD or Managing Director (MD)
- Develop systems and procedures to improve the overall efficiency of the office
